Who we are

DoctAssist is a clinic management service made by ProEmTech Infosystems Private Limited, Bengaluru, India ("ProEmTech", "we", "us"). It covers this website, the DoctAssist web app, the DoctAssist mobile apps, clinic pages (doctassist.com/c/…), doctors' visiting cards (doctassist.com/d/…) and online booking.

This policy explains what personal data we handle, why, where it is kept and the choices you have.

Clinics and us

Clinics use DoctAssist to keep their patients' records. For patient records the clinic decides what is recorded and why; we process that data on the clinic's behalf and only to run the service for it. If you are a patient and want to see, correct or remove your records, please contact your clinic first. We will help the clinic answer you.

For the accounts of clinic staff, the website's forms and our own billing, we decide how the data is used and this policy applies to us directly.

What we collect

  • Clinic staff accounts: name, mobile number, email address if given, the clinics you work in and your roles. Doctors may add a photo, specialisation, qualifications, registration number and signature.
  • Patient records entered by a clinic: name, mobile number, gender, age or date of birth, visits, vitals, notes, prescriptions, bills, inpatient stays and documents such as reports and scans.
  • Online booking: the name, mobile number and details a patient enters when booking a token by QR code, and the booking itself.
  • Forms on this website: what you send when you register a clinic, refer a clinic, ask for a call back or request a demo.
  • Technical data: server logs with IP address, device and browser type and the pages or actions requested, kept to run the service securely.

How we use it

  • To provide DoctAssist: booking, queues, prescriptions, billing, printouts and the clinic's records.
  • To sign you in with a one-time code sent to your mobile number, and to keep your account secure.
  • To send messages the service needs, such as login codes and booking confirmations.
  • To answer your requests, set up clinics, handle licences and billing, and give support.
  • To find and fix problems, prevent misuse and meet our legal duties.

We do not sell personal data, and we do not use patient records for advertising.

What is public

Only what a clinic or doctor chooses to publish is public: a clinic page, a doctor's visiting card (with the details and photo they add), and the booking page patients open from a QR code. Patient records are never public.

Where data is kept

Our servers and file storage are run for us by DigitalOcean in its Bangalore (India) data centre. Photos and logos that clinics and doctors publish are served through a content delivery network. Patient documents, signatures and other files are stored privately and can only be opened by signed-in staff of the clinic they belong to. Data is encrypted in transit.

We use trusted service providers for hosting, file storage and sending messages. They may only use the data to provide their service to us and must keep it secure.

Who can see it

  • Inside a clinic, staff see what their role allows. Doctors see their own patients' visits; administrators manage the clinic.
  • A clinic cannot see another clinic's records. A doctor who works in two clinics sees only their own prescriptions for a patient across them.
  • A small number of ProEmTech staff can access data when needed to give support or keep the service running, and their access is recorded.
  • We may share data when the law requires it, or to protect the safety of people or the service.

How long we keep it

Clinic records are kept while the clinic uses DoctAssist and for as long as the clinic needs them or the law requires medical and billing records to be kept. When a clinic leaves, we return or delete its data as agreed with the clinic. Website enquiries are kept for as long as needed to follow them up.

Your choices and rights

Depending on where you live, including under India's Digital Personal Data Protection Act, 2023, you can ask to see, correct or delete your personal data, withdraw consent, and nominate someone to act for you. Clinic staff can change their own name, photo and visiting card in the app. Patients should contact their clinic about their records. For anything else, write to info@proemtech.com and we will reply as the law requires.

Cookies and storage on your device

We do not use advertising or tracking cookies. The website and apps keep a few things on your device so they work: your sign-in, the clinic you chose, your language and light or dark theme.

Children

Clinics may keep records of children as patients; that is done by the clinic with the consent of a parent or guardian. DoctAssist accounts are for clinic staff, not for children.

Changes to this policy

If we change this policy we will update the date at the top, and tell clinics about important changes before they apply.

Contact us
